The Dashboard gives you a quick overview of the sharing activity of your organization's users.
You can look into the current state of affairs, examine specific time periods, and learn about the most sharing users, most shared items, and the domains that most items are shared with.
Daily metrics
The top bar gives the total amount of shared files and folders, sharing users, externally shared teams, and external domains that files, folders, and teams are shared with right now.
Trusted users are those with an email address on your own domain or on a domain listed as trusted in the Settings area. External is everyone else.
Sharing graphs and top 5 cards
Below the bar, you find five cards that go into more detail on the data. Both historically and in top 5 overviews that may give you some valuable insights into areas that need attention from a cleanup perspective. The data in this section is updated every night.
You can narrow the focus of the data in the graphs Shared files & folders and Users by using the date picker. The data displayed in the top 5 overviews is, however, from today.
Shared files & folders show you the total amount of shared files and folders across your organization in the chosen time period. The total is broken down into trusted and external. A file or folder is considered shared externally if one or more of the email accounts it is shared with is on an external domain, if it is shared with a group that has external user(s) as members, or if the item is shared via an anonymous link. |
Users count the total amount of sharing users across your organization or trusted domains and those externals with whom they share items. This means that users in your organization who don't share a single file or are owners of a shared team are not listed here. Trusted users are those with an email address on your own domain or the domains that you have listed as trusted domains in the Settings area. External users are all the rest. If multiple files/folders are shared with the same external user, he or she will only count as one here. |
Top 5 ext. sharing users is a list of the users in your organization with the most files, folders, or teams shared. The figure is the number of shared files, folders, or teams, regardless of how many people those items are shared with. | Top 5 ext. shared files is a list of the most shared files or folders owned by your organization based on the number of external users with access to them. | Top 5 ext. domains gives you those external domains that your organization's users have shared the most files and folders with. |
