Here is a list of core concepts that are good to know when it comes to Tricent for Microsoft 365.
Admin |
One of the four roles in Tricent. An Admin has access to your organization's sharing information in Tricent, but not to the Settings area.
Azure Active Directory |
Your Microsoft Entra admin center is, as you likely know, the place where you create, remove, and maintain users and groups. It is also where you add and remove the Tricent Admin and Super Admin role to users.
Cleanup |
Doing a cleanup is synonymous with unsharing files, folders, or removing external members from teams. This can be performed manually in the Insights page by an admin or in the Cleanup page by the end user. It can also take place in the automated cleanup process - with or without user involvement.
End user |
The most basic of the four roles in Tricent. End users have access to stopping or extending the sharing of their own files, folders, and teams. This happens in their personal cleanup page that they access by clicking the Take action button in the cleanup email and logging in with their Microsoft work account credentials.
Enterprise applications |
For Tricent to have the necessary permissions to perform its tasks, we ask you to grant access to seven so-called enterprise applications. This is done during the onboarding of Tricent. The seven applications are called Tricent Portal, Tricent Portal API, and Tricent Metadata Scanner 1-5. |
External domain |
A domain that is not your own primary domain, alias domains, or included on the Trusted domains list under Settings.
Externally shared file/folder/team |
An item that at least one external user has access to.
External user |
A user with an email address from a domain that is not your own primary, alias domains, or included in the Trusted domains list under Settings.
Extension date |
The date the extension of a share ends. Once reached, the item will potentially be included in the automatic or user-driven unshare process once again.
File/folder-owner |
The user/entity that owns the file or folder. Ownership of files placed in a Teams channel or SharePoint files folder is handed over to the owner of that Team or folder.
Roll-back |
A feature under the History page, that allows Admins and Super Admins to undo events such as unsharing or extension.
Shared file |
A file shared with other users from the end-user's own OneDrive, a SharePoint folder or a Teams channel. |
Super Admin |
This is one of the four roles in Tricent. A Super Admin has access to your organization's sharing information in Tricent and the Settings area.
Team-owner |
A user that owns a specific team and inherited files within that team.
Tenant |
Your unit of subscription services with Microsoft.
Trusted user |
A user with an email address on your primary domain, alias domains, or a domain that is included in the Trusted domains list under Settings.
User |
A person with access to your organization's files, folders, or teams. A user can be either Trusted or External. Trusted users are those on your own domain or the domains that you list in the Settings area. External users are everyone else.
